| Purpose: The ProjectArchive feature class is part of the Department of Public Works' (DPW) Records Management & Maintenance System (RMMS), which is a GIS-based image document system used for a) managing scanned image .tif files, b) managing metadata about image files in a geodatabase, c) querying, viewing, and printing DPW drawings. This feature class records projects that were introduced, but were never completed. Project documents were scanned and the feature class contains reference to those drawing files. | |||
| Supplemental Information: Drawings mainly represent: miscellaneous site & drawing plans, subdivision records, and baseline survey maps. Drawings originated from/converted from: hardcopy documents, microfilm, and DWG. Previous processes required Survey Division staff to manually research and hunt down any of these drawing types, resulting in deficient customer service response times and loss in valuable staff time. All drawing files, i.e. DWGs and scanned drawing images (.tifs), are stored on a separate file server, while the geographically based features and reference "imgr_" tables that relate to the drawing files are stored in the geodatabase. After drawings are copied or scanned to their destination on the RMMS file server, ArcMap becomes the interface used by GIS technical users for digitizing project boundaries (if appropriate) and/or are presented with forms for collecting drawing information/metadata, which is then stored in the geodatabase. The geodatabase "imgr_" feature classes and tables are used for: -Capturing spatial references of drawings (polygon feature classes) -Capturing basic project drawing metadata. (Name, DrawingNumber, DrawingTitle, Ordinance, AdoptionDate, CADFilePath, etc...) -Capturing/providing reference links to the scanned drawing images from the geodatabase. (ImageFilePath) -Expedient record searches for these drawings through either interactive identification queries in the GIS map interface (ArcMap), or queries via form(s). Notes on "imgr_" tables: imgr_ProjectType and imgr_Subdivision are tables stored outside of the ImageReference dataset. The "imgr_ProjectType" table is a table that contains the official list of types of drawings/projects, i.e. Acquisition, Alley Closing, Building Construction, Easement, Street Encroachment, etc..., which is used in the classification/metadata assignment for drawing types during the GIS-based data entry. The imgr_ProjectType table has a one to many relationship to the imgr_Project feature class. The "imgr_Subdivision" table is a table that contains the scanned/archived subdivision plan drawings provided to DPW and it contains the Name and recorded ImageFilePath for query/retrieval capabilities. The subdivision table is not related to GIS feature classes, but resides in the geodatabase as the RMMS is a GIS-residing application.
